Responsible AI Policy
Employee Zero uses artificial intelligence in how we work and in the services we deliver, and we help clients adopt AI responsibly. This policy sets out the principles we apply.
Scope
This policy applies to our own use of AI systems and to the AI consultancy, implementation and training services we provide, including work with tools such as Microsoft Copilot, Google Gemini, ChatGPT, Claude and Apple Intelligence.
Our principles
- Accountability and human oversight — people remain responsible for decisions; AI supports them, it does not replace accountability
- Transparency — we are clear about where and how AI is used
- Fairness — we work to avoid unfair bias and discrimination
- Privacy and data governance — we protect personal and confidential data in any use of AI
- Security, reliability and safety — we apply appropriate controls to AI systems
Standards and regulation
We align our approach to ISO/IEC 42001 and follow the development of the EU AI Act and the UK’s approach to AI regulation. We help clients understand and meet their own obligations.
Handling data in AI tools
We do not put client or personal data into ungoverned or consumer AI tools. We use approved tooling with appropriate controls against data leakage, and we offer governed options such as private AI environments and controlled AI access for clients.
Governance
We assign clear roles and responsibilities for AI, assess risk before adopting AI in our services, set acceptable-use boundaries, and handle AI-related incidents through our normal incident process. We train our people and review this policy regularly.
