Privacy Policy

Employee Zero Ltd (“Employee Zero”, “we”, “us”) respects your privacy. This notice explains how we collect and use personal data when you visit empzer.com, contact us, use our Client Portal, sign up to marketing or events, or apply for a role with us. It covers our role as a data controller for those activities. Where we process personal data on behalf of a client to deliver our services, we act as a data processor under our GDPR / Data Processing Addendum.

The personal data we collect

  • Website usage and device data, through cookies and analytics
  • Information you provide through our contact and consultation forms
  • Client Portal (Zendesk) account and support information
  • Marketing and event sign-ups
  • Recruitment and careers enquiries
  • Remote management and support data from the NinjaOne agent installed on supported client devices (device, configuration, performance and event data used to deliver support)
  • Support tickets you raise with us, including those raised from the NinjaOne desktop agent or, where your organisation has enabled it, from Slack or Microsoft Teams

How and why we use your data

We use personal data to respond to enquiries and deliver our services, manage your Client Portal account and support requests, send marketing where you have asked us to or where we have a legitimate interest in business-to-business marketing, run recruitment, keep our website secure, and meet our legal obligations.

Our lawful bases under the UK GDPR are typically: performance of a contract (or taking steps before entering one) for enquiries and services; legitimate interests for business-to-business marketing and website security; and consent for analytics and marketing cookies. Cookies and electronic marketing are also governed by the Privacy and Electronic Communications Regulations 2003 (PECR).

Who we share your data with

We share personal data with trusted providers who help us run our business and deliver support, including:

  • Cloudflare - website hosting and content delivery
  • Zendesk - Client Portal, telephony and support ticketing
  • NinjaOne - remote monitoring and management
  • HubSpot - our contact forms, CRM and marketing analytics
  • Google Analytics - website traffic data

Where your organisation enables the optional Slack or Microsoft Teams support integration, a message raised in your designated support channel creates a ticket in Zendesk and is handled the same way as any other contact method. We do not store your Slack or Microsoft Teams message data in our systems beyond the resulting Zendesk ticket. Our current list of sub-processors is published in our Sub-processor List.

International transfers

We operate across the UK, the United States and Singapore, so your data may be transferred outside the UK if you subscribe to one of our follow-the-sun or out-of-hours support products. Where it is, we use appropriate safeguards such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, and we rely on adequacy where it applies.

How long we keep your data

We keep personal data only for as long as we need it for the purposes above, or to meet legal and contractual obligations, after which we securely delete or anonymise it.

Your rights

You have the right to access your personal data and to ask us to correct, erase or restrict it, to object to processing, to receive your data in a portable form, and to withdraw consent where we rely on it. To exercise any of these rights, contact privacy@empzer.com; we will respond within the time limits set by law. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk and, if you are outside the UK, to your local data-protection authority.
